Sales Operations Specialist

The Sales Operations Specialist plays an important role in supporting the commercial success of Antaros Medical by ensuring the accuracy, efficiency, and coordination of sales-related processes and documentation. This role is involved in the entire lifecycle of client proposals and contracts, from initial drafting and negotiation to final execution and management. This includes building and refining project budgets, coordinating proposal development, and supporting contracts and change orders. The role requires strong collaboration across internal departments — especially with Project Managers, Business Development, Legal and Finance — and may involve communication with customer procurement or contract teams.

At Antaros Medical, we are pioneering imaging methodologies, such as Magnetic Resonance Imaging (MRI) and Positron Emission Tomography (PET), to design and deliver clinical studies for decision making and differentiation in drug development.

As a part of our journey, we are now looking for a Sales Operations Specialist – an exciting and diverse role at Antaros Medical. The position could be based in our offices in Gothenburg or Uppsala.

Key Responsibilities

  • Proposal & Budget Coordination
    • Support the development of study-specific budgets and client proposals in collaboration with the BD/Sales team
    • Maintain templates and proposal content libraries
    • Ensure alignment of proposal content with current service offerings and capabilities
  • Contract & Document Management
    • Support preparation and coordination of client and vendor-facing documents including SOWs, Data Protection Agreements, MSAs, and Change Orders
    • Liaise with internal legal counsel and project teams as needed to finalize contractual documents
    • Track contract status and maintain version control
  • Cross-Functional Collaboration
    • Work closely with Project Managers to coordinate vendor contracts, pricing inputs, and project-specific changes during the entire trial.
    • Support the Business Development team with document formatting, Sales CRM management, data requests, meeting follow-ups, and proposal timelines
    • Help manage internal processes to ensure timely turnaround of all BD deliverables
  • Process Improvement
    • Identify opportunities to streamline and standardize sales-related workflows and tools
    • Support implementation of scalable systems as the company grows

Qualifications

  • 2–4 years in sales operations, proposals, project coordination, or contract support (preferably in life sciences, pharma, CRO, or imaging)
  • Bachelor’s degree required; focus in life sciences, business, or related field preferred
  • Highly proficient in Microsoft 365 suite (Excel, Word, PowerPoint, SharePoint); experience with CRM tools or similar systems strongly preferred
  • Highly organized, with strong attention to detail and ability to multitask
  • Collaborative team player with excellent written and verbal communication skills

Preferred Attributes

  • Experience in proposal coordination or pricing for clinical trial services
  • Familiarity with commercial contracting and legal processes
  • Comfortable working in a lean, fast-paced, cross-functional environment
  • Interest in growing with the role as the commercial function scales
